We are responsible for looking after this information in the way which you’ve agreed to.
Personal Information | Business Information
If you are simply browsing the www.wordarchitect.com website no personal data is collected. If you contact us and we decide to work together, we will ask for your:

The above information is required for invoicing purposes (full name, business name and contact address) and for communication purposes (email and/or phone number). In the process of writing your book we will need to interview you about your requirements – this will be done either in person, by phone or online call. These conversations will be recorded and transcribed either by us or a third-party provider. When a third-party provider is used no personal identifying information is given to the provider. We will inform the provider of your initials, the interviewer’s initials and the broad topic area of the book only. If you chose NOT to allow us to retain this information, we would be unable to provide the writing services you require.
If we work together, we will keep your details for this purpose only. We would never pass on your personal details to a third party. Our services are available to adults only (over 18 years old).
Payment Information
In most instances we will invoice you for services provided and include our banking details for payment. Depending on your preference and geographic location we may use PayPal. If so, we do not have any access to your credit card, business or personal banking details or debit card details. For their privacy policy information, please visit www.paypal.com.
Information We Collect
By accepting the terms of our service and agreeing to work with us on the creation of requested written material, you would be opting-in to regular communication during the duration of the project and occasional follow up communication once the project is complete. We will NOT use your personal or business data for any other purpose.
How long do we keep your data?
If we work together we retain your data for the duration of the working relationship. Once the project is complete all files pertaining to the creation of the book including audio recordings, transcripts, manuscript versions, edits and email communications are removed from the active day-to-day PC and stored on a portable hard drive. This is stored securely and is not connected to a PC or the Internet. If you no longer wish to be a client, or we have decided to end the business relationship before completion of the work, we will delete your personal information outlined above on request. Anything required by law such as the HMRC requirement to keep invoices for a minimum of 5 years will be archived.
Your rights
If you would like to know what personal data we hold on record for you, please contact us via email ([email protected]) with the subject heading “Data Retention Request” or phone +44 7799272432. We will provide you with a copy of all your data free of charge within 30 days of the request. Breach Notification
In the unlikely event that we (the Data Controller) become aware of a data breach within the company, we will notify the ICO (Information Commissioners Office – The Regulator) and the data subjects within 72 hours.
Cookies
This site uses a wordpress_test_cookie which is strictly necessary for the operation of the website. The site uses session cookies, which are generally deleted from our server every few hours. These cookies may reside in your browser cache, which you can delete at any time. If you revisit our website then another session cookie is generated.
Your IP address, web browser used, and pages visited are stored in our web server log files. These log files are auto generated by our server and are used for security purposes. These log files are deleted every 30 days on a rotational basis.
We do not retain these log files long term. The only instance a log file may be retained for longer than 30 days, would be in the investigation of a security breach, which we would be required to retain such log files in pursuit of an investigative resolution. After any such investigation is completed these log files would be deleted.
Security
The personal and business information we collect and retain is stored on our active PCs which is protected by BullGuard Internet Security. Once a project is complete all files are archived on a portable hard drive which is stored securely. This information is not accessible by using the Internet.
